Privacy Policy

This policy covers our website and Field Companion app. Our programs are for adults 18 or older.

Field Companion is not an AI chatbot. Some website and app content may be AI-assisted from our source materials.

What we collect

• Information you give us (such as name, email, phone, address, and registration details).
• Payment information processed by third-party payment providers (we do not store full card numbers).
• Technical data such as IP address, device/browser type, and site or app usage needed to operate the service.
• In Field Companion: course chat, map pins, and notes you sync; optional location if you allow it for field features.

How we use it

• Run courses and the app (registration, logistics, safety, support).
• Communicate about your enrollment and our programs.
• Process payments and meet legal, tax, and insurance requirements.
• Improve our website and app.

How we share it

We share personal information only as needed with service providers (hosting, email, payment, maps/weather, 3D model hosting), instructors and field staff, or when required by law or a business transfer. We do not sell personal information for money, and we do not sell or share it for cross-context behavioral advertising under the CPRA.

Access & retention

Course participant website pages are available through course start + 3 months, then access is removed. Synced app chat, pins, and notes are kept through the course and up to 12 months afterward for operations, disputes, and safety follow-up, then deleted or de-identified unless a longer period is required for a legal claim, investigation, or insurance. Registration, billing, and liability records are kept as long as needed for legal, tax, and insurance purposes. Local device data stays on your device until you clear it.

Cookies

We use essential cookies to operate the site. Analytics and other non-essential cookies (if enabled) load only after you accept them via our cookie banner, or as otherwise allowed by your settings. You can also manage cookies in your browser.

Your choices

Email chris.oswalt@geologyfieldschool.com with subject “Privacy Request” to ask for access, correction, or deletion we can honor. You can revoke location permission in your device settings and clear browser data for local storage.

International & U.S. state rights

We are based in Texas, USA. Information may be processed in the U.S. and other countries where our providers operate. UK/EEA participants may have rights under GDPR/UK GDPR (access, correction, deletion, and related rights, subject to exceptions) and may contact us or their supervisory authority (e.g. UK ICO). Providers may use Standard Contractual Clauses or similar transfer tools for international transfers. We have not appointed an EU/UK Article 27 representative. California and Texas residents may contact us for privacy requests; we may need to verify identity.

Children

We do not knowingly collect personal information from children under 13. If we learn we have, we will delete it.

Security & changes

We use reasonable security measures. No online service is completely secure. We may update this policy and will post a new effective date when we do.
